Terms and Conditions
Effective Date: September 14, 2026
Last Updated: September 14, 2026
These Terms and Conditions ("Terms") govern your access to and use of fuelpermitoregon.com and its related application flow, virtual assistant, and related services (collectively, the "Services"), operated by LAV Permit Inc., a California corporation ("Company," "we," "us," or "our"). By accessing or using the Services, submitting an application, or making a payment through the Site, you ("you" or the "Customer") agree to be bound by these Terms. If you do not agree to these Terms, do not use the Services.
1. Description of Services
The Company provides a paid document-preparation and permit-processing service to assist commercial motor carriers, drivers, dispatchers, and related businesses in obtaining Oregon trip permits and Oregon extended weight permits ("Permits"). The Company is not a government agency and is not affiliated with, endorsed by, or acting as an agent of the State of Oregon, the Oregon Department of Transportation ("ODOT"), or any other government body. We assist in preparing and submitting permit requests based on the information you provide.
2. Eligibility
By using the Services, you represent that you are at least 18 years old, are legally authorized to operate or arrange for the operation of the commercial vehicle(s) described in your application, and have the authority to submit the information provided (for example, on behalf of a carrier or company you represent).
3. Accuracy of Information
You are solely responsible for the accuracy, completeness, and truthfulness of all information you submit through the Site, including but not limited to USDOT number, company information, vehicle and VIN details, license plate information, weight and axle information, ownership/leasing information, commodity, route, and travel dates. Permit accuracy depends entirely on the information you provide, consistent with applicable Federal Motor Carrier Safety Administration ("FMCSA") standards and Oregon requirements. The Company is not responsible for delays, denials, fines, penalties, or other consequences resulting from inaccurate, incomplete, or outdated information supplied by you.
It is your responsibility to review your Permit once delivered and to confirm that all details are correct before operating your vehicle in Oregon.
4. No Guarantee of Approval or Timing
Submitting an application through the Site does not guarantee that a Permit will be issued, and does not by itself authorize you to operate a commercial vehicle in Oregon. Your vehicle may not be lawfully operated under a requested Permit until that Permit has been properly issued and delivered to you. The Company does not guarantee a specific turnaround time for processing or delivering any Permit. We encourage you to apply well in advance of your planned travel and, if you are uncertain about your Permit's status, to contact us before entering Oregon.
Responsibility for compliance with all applicable laws and regulations while operating a commercial vehicle rests solely with the carrier and driver, regardless of any assistance provided by the Company.
5. Fees and Payment
- Applicable fees for each Permit type are displayed on the Site at the time of your application and are due in full at the time of submission.
- All payments are processed through Stripe, Inc., a third-party payment processor. The Company does not collect or store your full payment card information; see our Privacy Policy for details.
- By submitting payment, you authorize the Company to charge the payment method provided for the amount shown at checkout.
- Prices are subject to change without notice for future applications but will not change for an application already submitted and paid for.
6. Cancellations and Refunds
The Company reserves the right, in its sole discretion, to cancel, decline, or refuse to process any order or application, for any reason, including but not limited to suspected inaccurate information, suspected fraud, or an inability to obtain the requested Permit. If the Company cancels or declines an order, the corresponding payment will be refunded to the original payment method.
Because Permits are prepared and, where applicable, submitted promptly upon payment, requests to cancel an order after submission may not be possible once processing has begun. If you believe you have submitted an application in error, contact us immediately at the information in Section 19, and we will make reasonable efforts to assist you, but cannot guarantee a refund once processing or submission has occurred.
7. Delivery of Permits
Permits are delivered electronically to the email address (and, where applicable, other contact information) you provide. It is your responsibility to ensure that the contact information you provide is accurate and monitored so that you receive your Permit in a timely manner. The Company is not responsible for non-delivery caused by an incorrect email address, spam/junk filtering, or other issues outside of our control.
8. Jennifer Virtual Assistant
The Site includes an AI-powered virtual assistant ("Jennifer") that can answer questions about pricing, the application process, and general information about the Services. Jennifer is provided for informational purposes only, does not collect or submit permit applications on your behalf, and her responses do not constitute legal, regulatory, or professional advice. In the event of any conflict between information provided by Jennifer and these Terms, our Privacy Policy, or the information provided elsewhere on the Site, the latter will control. Do not submit sensitive information (such as full payment card numbers) through the chat assistant.
9. Prohibited Conduct
You agree not to:
- Provide false, misleading, or fraudulent information in connection with any application;
- Use the Services for any unlawful purpose or in violation of any applicable federal, state, or local law or regulation;
- Attempt to interfere with, disrupt, or gain unauthorized access to the Site, its underlying systems, or any accounts, data, or admin functionality not belonging to you;
- Use any automated means (bots, scrapers, etc.) to access the Site other than through publicly supported means (such as standard search engine indexing); or
- Misrepresent your identity or authority to act on behalf of a carrier or company.
We reserve the right to refuse service, cancel orders, and/or report suspected unlawful activity to appropriate authorities.
10. Intellectual Property
All content on the Site, including text, graphics, logos, the "Fuel Permit Oregon" name and branding, software, and the design and structure of the Site, is owned by or licensed to the Company and is protected by applicable intellectual property laws. You may not copy, reproduce, distribute, or create derivative works from the Site's content without our prior written consent, except as necessary to use the Services for their intended purpose.
11. Third-Party Services
The Services rely on certain third-party providers, including Stripe (payments), Supabase (data storage), Netlify (hosting), Resend (email delivery), Anthropic (the Jennifer assistant), OpenRouteService (route/mileage calculations), and Google (advertising and site tools). Your use of the Services may be subject to those providers' own terms and policies where applicable. The Company is not responsible for outages, errors, or issues caused by third-party service providers that are outside of our reasonable control.
12. Disclaimer of Warranties
THE SERVICES ARE PROVIDED "AS IS" AND "AS AVAILABLE," WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. THE COMPANY DOES NOT WARRANT THAT THE SITE WILL BE UNINTERRUPTED, ERROR-FREE, OR SECURE, OR THAT ANY PERMIT WILL BE ISSUED WITHIN ANY PARTICULAR TIMEFRAME OR AT ALL.
13. Limitation of Liability
TO THE FULLEST EXTENT PERMITTED BY APPLICABLE LAW, IN NO EVENT SHALL THE COMPANY, ITS OFFICERS, DIRECTORS, EMPLOYEES, OR AGENTS BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF PROFITS, REVENUE, DATA, OR BUSINESS OPPORTUNITY, ARISING OUT OF OR RELATED TO YOUR USE OF THE SERVICES, EVEN IF THE COMPANY HAS BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES. THE COMPANY'S TOTAL AGGREGATE LIABILITY ARISING OUT OF OR RELATED TO THESE TERMS OR THE SERVICES SHALL NOT EXCEED THE TOTAL AMOUNT YOU PAID TO THE COMPANY FOR THE PERMIT(S) GIVING RISE TO THE CLAIM.
Some jurisdictions do not allow the exclusion or limitation of certain damages, so some of the above limitations may not apply to you.
14. Indemnification
You agree to indemnify, defend, and hold harmless the Company and its officers, directors, employees, and agents from and against any claims, damages, losses, liabilities, and expenses (including reasonable attorneys' fees) arising out of or related to: (a) your use of the Services; (b) inaccurate or fraudulent information you submit; (c) your violation of these Terms; or (d) your violation of any applicable law or the rights of any third party.
15. Governing Law and Disputes
These Terms are governed by the laws of the State of California, without regard to its conflict-of-laws principles, except to the extent preempted by federal law. Any dispute arising out of or relating to these Terms or the Services shall be subject to the exclusive jurisdiction of the state or federal courts located in California, and you consent to personal jurisdiction in those courts, unless otherwise required by applicable law.
16. Changes to These Terms
We may revise these Terms from time to time. The updated Terms will be posted on this page with a revised "Last Updated" date and will apply prospectively to your use of the Services following posting. Your continued use of the Services after changes are posted constitutes your acceptance of the revised Terms.
17. Severability
If any provision of these Terms is found to be unenforceable or invalid, that provision will be limited or eliminated to the minimum extent necessary so that the remaining Terms remain in full force and effect.
18. Entire Agreement
These Terms, together with our Privacy Policy, constitute the entire agreement between you and the Company regarding the Services and supersede any prior agreements or understandings, whether written or oral, relating to the subject matter herein.
